We have an exciting opportunity for a full-time Administrative Assistant on an 18-month fixed term contract, based in our Elvetham office and from contract site offices, supporting the projects team. We are looking for an individual who shares our energy and passion and will help to contribute to our ongoing success. This role provides an opportunity to develop responsibilities overtime and work on ad hoc projects as they become available, as well as developing and expanding on skills and knowledge.
· Providing support to our Arboriculture, Projects and Ecology managers with administrative tasks on a day-to-day basis.
· Maintaining the area One Drive,databases and spreadsheets; ensuring all are up to date.
· Document control
· Assisting with the setup of contracts,and subsequent invoicing.
· Assisting in the provision of information for tendering process.
· Attending weekly planning meetings.
· Filing of papers and contract documentation, photocopying and distribution of papers where necessary.
· Answering incoming calls and professionally dealing with client queries to the department and taking messages as appropriate.
· Organising incoming/outgoing mail for the office.
· Basic book keeping and support to the accounts team, if required.
· Meet and greet visitors to the office, signing them in and providing hospitality.
· Assisting with the preparation and tidying of meeting rooms, including organising catering, if necessary.
· Ensure the office is fully stocked with stationery.
· Previous experience in anadministrative role.
· Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
· Excellent verbal and written communication skills.
· Strong organisational skills and the ability to prioritise tasks effectively.
· A proactive and adaptable approach to problem-solving.
· Knowledge of timber industry practices is a plus but not required.
· Self-motivated and able to work on own initiative with strong interpersonal skills
